Planning Checklist

Payment
Payment for all programs, demonstrations, and IMAX films is required in full on the day of the visit. Group rates apply to groups of at least 10 people. MasterCard and Visa are accepted. Checks should be made payable to Virginia Air & Space Center. *Complimentary and member tickets are not valid for group visits.

Changes and Cancellations
If your plans change, please notify us at least one week in advance so that we can make programs and activities available to other groups.

If it becomes necessary to cancel your group visit, please call at least one week in advance, otherwise your group will be charged 50% of total field trip cost.

Hours of Operation for Group Activities
Group activities may begin as early as 9:00 a.m. The Center opens to the general public at 10 a.m. daily.

Arrival/Late Arrivals
Please allow enough time to arrive 20 minutes prior to the scheduled program/tour time. If the group is more than ten minutes late, we cannot guarantee the scheduled program, demonstration, tour or IMAX film. IMAX films are public performances and cannot be delayed. Exchanges for later showings cannot be guaranteed.

Before You Leave Your School
Count the exact number of students, chaperones, and teachers you are bringing to the Center. Make sure chaperones know for which students they will be responsible.

When You Arrive
Our Center staff will greet your group at the bus drop-off area. While students are receiving an orientation to the Center, the group leader should complete payment at the admissions desk. Please have your confirmation letter and full payment in hand.

If your departure time must change, please notify a staff person immediately upon arrival.

Bus parking is available. We suggest students unload in front of the building before the bus parks.

If your group is more than 10 minutes late, we cannot guarantee the scheduled program/tour or IMAX film. IMAX films are public performances and cannot be delayed. Substitutions for later performances cannot be guaranteed.

If weather permits, please leave coats on the bus. The Center has very limited storage areas.

Lunches
Boxed lunches are available upon request, with seven days notice. Please call 727-0900, ext. 780 for lunch menu options and prices. Be sure to provide an accurate count of students and chaperones when ordering.

Bag lunches may be brought for a picnic in Carousel Park. Located adjacent to the Virginia Air & Space Center, the Hampton Carousel is one of the few antique merry-go-rounds still operating *See below for lunch options.

Conduct/Chaperones
Chaperones are responsible for the behavior of the group and must remain with the group at all times. Please have your group pre-divided into groups of 20 with two chaperones. We require one chaperone for every ten students. Additional
chaperones will pay the same rate as the students. The Center reserves the right to terminate the visit without reimbursement of any individual or group that is inadequately supervised or fails to behave responsibly.

Teacher Tips
The Center is very busy from March to May. To avoid the crowds, you may want to visit from October through February.

Schedule your field trip at least two weeks in advance, or four weeks or more if you are planning to visit in March, April or May. This gives us time to process your reservation and get back to you in time.

Remind your group to take photographs in the exhibit area only. Please do not bring radios, headsets, or chewing gum.
